Format: Brief phone call, video chat, or in-person meeting
Three quick questions I’d ask:
• What outcomes are most important to you for this initiative?
• What concerns do you have about current performance?
• What would success look like in 6-12 months?
I’ll send a brief summary of key findings to all participants once the assessment is complete.

Phone Scripts for Executive Calls
Opening: “Thank you for taking time to speak with me. I have three brief questions that will help ensure this assessment addresses your most important concerns. Should take about 10-15 minutes.”
Question 1: “From your perspective, what are the biggest challenges or gaps in [AREA] that we should be looking at?”
Question 2: “What would success look like to you if we address these issues effectively?”
Question 3: “Are there specific constraints or considerations I should keep in mind during this assessment?”
Closing: “This has been very helpful. I’ll include these priorities in my analysis and share key findings with you once the assessment is complete. Should I follow up via email, or would you prefer a brief call?”
✅ DO
- Be specific about time commitment
- Explain how their input will be used
- Offer multiple scheduling options
- Start and end on time
- Send calendar invites with agenda
❌ DON’T
- Ask for “some time to chat”
- Send long, detailed emails
- Assume they know what assessment is about
- Ask for more than 30 minutes
- Forget to follow up with findings
